ONCOVET SAS ("We") commit to protecting and respecting the confidentiality of your personal data.

This policy (as well as our conditions of use and all other documents to which they refer) stipulates how we handle the personal data that we receive from you or which you send to us. Please read the following carefully in order to understand our point of view and our practices for handling your personal data and the way in which we process them. BBy interacting with our veterinary services clinic or by viewing the www.oncovet.fr website you accept and consent to the practices described in this policy.

Categories of information that we may use

Information you give us. You may give us information about you by filling in forms on our website www.oncovet.fr (our website) or by corresponding with us by phone, e-mail, face to face in our clinic, or otherwise. This includes information you provide when you engage us to provide the services described in our Terms and Conditions, register to use our website, subscribe to our service, or other social media functions on our website, enter a competition or survey and when you report a problem with our website.

Information we collect about you. With regard to each of your visits to our website we may automatically collect the following information:

  • Technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.
  • Information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our website (including date and time); page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our office.
  • Information about the browser (type, version, screen size, etc.), basic information about the user (IP address, language, time zone) and data containing mouse movements, clicks, scroll events and keystrokes are sent to Mouseflow. No personal data is sent, and no data is ever shared between websites. The script does not use third-party cookies. No data is shared with third parties, except for highly summarised data gathered across all Mouseflow accounts, e.g. usage share of browsers, average screen size, etc. Keystrokes from password fields and fields marked as “sensitive” are never recorded or sent over the network. Information we receive from other sources. We may receive information about you if you use any of the other websites we operate or the other services we provide. We may collect and process the following data about you:

  • your name
  • your address
  • your e-mail address 
  • your phone number
  • your financial information, including bank details and insurance information
  • your photograph

In this case we will have informed you when we collected that data that it may be shared internally and combined with data collected on this website. We are also working closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies) and may receive information about you from them. We may also receive information about you when your pet is referred to us from another practice.

You may provide us with the information concerning yourself by filling in forms on our website, www.oncovet.fr (our website), or by corresponding with us by telephone, email, face to face in an office, or in another manner.

This includes the information that you supply us with when you contact us to offer you the services described in our General Conditions, when you sign up to use our website, when you subscribe to our service, when you participate in our discussion forums or other functions of the social network on our website, when you participate in competitions, a promotion or a study, and when you let us know that there is a problem with our website.

How we use your personal information

We process your data in order to supply the services and products defined in our General Terms and Conditions. Our legal basis for handling these data is one of the following categories:

  • Your permission to us to form a contract with you in order to supply our services
  • Serving our legitimate commercial interests such as handling a payment or sending a vaccination reminder
  • Once we have your consent, for example for marketing purposes (see the GDPR page for more information)

We can communicate information about you and defined above to certain third parties to allow us to supply the products and services indicated in our General Terms and Conditions. These third parties include payment agencies, insurers, compensation providers and other professional and legal consultants, debt recovery agencies, referrals to other veterinarians or clinics and specialist laboratories who assist us so that we can offer services to your pet.

Your personal data may also be transmitted to third parties:

  • to our regulatory authorities, to the authorities responsible for applying the law or preventing fraud as well as our advisers (including lawyers or auditors), to courts, to any other authorised body with the objective of carrying out research into any actual or suspected criminal activity or other regulatory or legal questions, etc.;
  • if we are obliged to divulge or share your Personal Data in order to meet a legal requirement or in order to execute or apply our conditions of use or other agreements, or to protect your rights, property or the security of ONCOVET SAS, our clients or other entities;
  • to our legal counsel and other counsel within the scope of our legal procedures in order to assert or apply our rights with regard to all contracts.

We are able to communicate your information to selected third parties, specifically:

  • Commercial partners, suppliers and sub-contractors to execute any contract concluded with them or with you.
  • Advertisers and advertising networks that require the data to select and offer relevant advertising.We will not divulge information to our advertisers concerning identifiable individuals, but we may provide them with overall information on our users (for example, we may inform them that 500 men aged under 30 years clicked on their advert on a given day).We may also use this overall information to allow advertisers to reach the type of audience that they wish to target (for example, women living in a certain region).We may use the personal data that we have gathered about you in order to comply with the wishes of our advertisers by showing their advertisement to this target audience.
  • Service providers offering analysis services and search engines which help us to improve and optimise our website.
  • We may share your personal information with third parties:
    • If we sell or purchase a company or assets, in which case we may divulge your personal data to the potential seller or purchaser of this company or these assets.
    • If ONCOVET SAS or almost all of its assets are acquired by a third party, the personal data held on these clients will form part of the assets being transferred.
    • If we are obliged to divulge or share personal data in order to meet a legal requirement or in order to execute or apply our conditions of use or other agreements, or to protect the rights, property or the security of ONCOVET SAS or other entities.This includes exchanging information with other companies and organisations for purposes of protection against fraud and the reduction of credit risk.

We will keep your data for as long as necessary to accomplish the purpose for which they were gathered.

Data is retained for 5 years from the end of the commercial relationship

Afterwards, your information will be destroyed securely as far as possible or at least will be anonymised if destruction is not technically possible.

Securing your information

We understand the importance of keeping your information completely safe and we will take a full range of technical and organisational measures in order to do so. We only authorise access to your information for persons with a legitimate professional need, on a strictly confidential basis. We have processes in place to deal with potential breaches of information security, which include communicating with you and our regulatory agencies when required by law.

Your rights

Under GDPR, you have the following rights with regard to your information:

  • Fair treatment of your information by our services. We have to be clear and transparent concerning what we do with the information that you send to us.
  • Accessing, correcting, updating your data or requesting that processing ceases or that your information is deleted.In order to exercise these rights, please contact us via your office.
  • To unsubscribe from marketing communications – please consult the GDPR page to find out how to proceed and which categories of communication we use.
  • To withdraw your consent for processing when we need it to process your information.

  • You have the right to obtain from us and reuse your data (in a structured, commonly used and machine-readable format) in order to reuse them for your own needs within the context of other services.This allows you to transfer data to another organisation with ease or to ask us to do so for you.

You also have the right, for legitimate reasons, to object to your Personal Data being processed.
